International Patient Coordinator (Travel & Planning)

Candidate Profile
We are looking for candidates who:
- Have planning or coordination experience in health tourism operations
- Can manage flight schedules, hotel bookings, and airport–hotel–clinic transfers
- Can follow several patients' schedules accurately and on time
- Can keep patient files, documents, and records organized and confidential
- Communicate with patients and suppliers (hotels, transfer companies) via WhatsApp, email, and phone
- Use Excel/Google Sheets and preferably CRM systems effectively
- Have strong problem-solving skills when flights or appointments change
- Are detail-oriented, organized, and responsible
- Are friendly, patient-focused, and good team players
Language Requirements — Mandatory
Good command of English is required for this position.
The coordinator will handle planning with international patients and their companions in English, both in writing and verbally.
Turkish communication skills are also needed to work with the clinic team, hotels, and transfer companies.
Candidates without a good command of English will not be considered for this position.
Responsibilities
The International Patient Coordinator will plan the full logistics of our patients' journey, from arrival in Istanbul to their return home, and keep complete patient files.
Key responsibilities include:
- Planning patients' arrival and return dates in line with their treatment plans
- Booking hotels and following up on accommodation
- Organizing and timing transfers between the airport, hotel, and clinic
- Sharing daily schedules and appointment times with patients and the team
- Quickly updating plans when flights or appointments change
- Keeping patient files (personal details, documents, treatment plan, travel details) up to date
- Managing communication and cooperation with hotel and transfer suppliers
- Coordinating with interpreters, patient greeters, and the clinical team
- Collecting and reporting patient feedback at the end of the process
Preferred Experience
Priority will be given to candidates who have worked in operations or planning at a health tourism company, medical travel agency, hotel, or travel agency.
A second foreign language in addition to English is an advantage.
